This Privacy Notice for Conform LLC ("we," "us," or "our") describes how and why we collect, use, store, and share ("process") personal information when you use Jrnyman — our field service management website, web dashboard, and mobile application (collectively, the "Services").

The Services include when you:

  • Visit https://jrnyman.com, https://app.jrnyman.com, or other sites we operate that link to this notice
  • Download or use the Jrnyman mobile application
  • Create a Subscriber (shop) account, join a waitlist, or contact us for support
  • Interact with limited public pages as an End Customer of a Subscriber (for example, booking, estimate review, or invoice payment links) — End Customers do not create Jrnyman accounts

1. Who This Notice Covers and Our Role

Subscribers are HVAC businesses and their team members who use Jrnyman to run their operations. For account, billing, product analytics, and support data about Subscribers, Conform LLC generally decides how that information is processed.

End Customers are homeowners or other clients of a Subscriber. When a Subscriber uploads or collects End Customer information (names, phones, addresses, job details, invoices, photos, etc.) in Jrnyman, the Subscriber determines why that data is collected. We process that information to provide the Services to the Subscriber. End Customers who have privacy questions about their HVAC provider's use of their data should contact that provider first; we can assist Subscribers with account-related requests as described below.

The Services are intended for businesses and users in the United States.

3. What Information Do We Collect?

Information you (or a Subscriber) provide

Depending on how you use the Services, we may process information such as:

  • Names, email addresses, phone numbers, and business mailing addresses
  • Account credentials and authentication data
  • Organization / shop profile details (trade, license number, tax ID, logo, website)
  • Customer, job, estimate, invoice, equipment, photo, voice-note, and related field service records entered by Subscribers
  • Waitlist and lead-form submissions (including optional SMS marketing preferences)
  • Support requests and correspondence with us
  • Billing and subscription choices for Jrnyman plans

Sensitive and financial information

Payment card and bank details for Jrnyman subscriptions and for End Customer payments are handled by Stripe. We do not store full card numbers on our servers. Stripe's privacy notice is available at https://stripe.com/privacy. Stripe Connect is used so Subscribers can accept payments from their End Customers; subscription billing for Solo/Crew is separate.

Job photos, equipment serial numbers, addresses, and similar records may be sensitive in context. We process them only as needed to provide the Services. We do not intentionally collect biometric identifiers (such as fingerprints or face templates) for identification.

Information collected automatically

When you use the Services, we and our providers may automatically collect device and usage information such as IP address, browser or app type, device identifiers, operating system, referring URLs, crash and diagnostic logs, and approximate location derived from IP or device settings. On mobile, with your permission, we may access camera, photo library, microphone, contacts, or notifications to support features you choose to use (for example, job photos, voice notes, contact import, or push alerts).

Analytics tools (including PostHog) may collect product usage events. On iOS, App Tracking Transparency may apply before certain tracking; if you deny tracking, we limit related analytics accordingly.

Information from third parties

We may receive information from third parties in connection with the Services, including:

  • Apple (Sign in with Apple — name/email as you authorize)
  • Stripe (payment, Connect onboarding, and subscription status)
  • Authentication and hosting providers that operate our backend
  • Map / geocoding providers when Subscribers look up or validate addresses (for example, OpenStreetMap Nominatim)

4. How Do We Process Your Information?

We process personal information to:

  • Create and manage accounts, organizations, and team memberships
  • Provide field service features (jobs, customers, estimates, invoices, equipment, messaging tools)
  • Process Jrnyman subscription payments and related billing notices
  • Facilitate Stripe Connect payments between Subscribers and End Customers
  • Send transactional email (invoices, estimates, reminders, account notices) and, where you opt in, marketing communications
  • Provide customer support and respond to inquiries
  • Monitor security, prevent fraud and abuse, and debug the Services
  • Analyze product usage to improve features and reliability
  • Comply with law and enforce our Terms of Service

5. When and With Whom Do We Share Information?

We may share personal information in these situations:

  • Service providers. Vendors who help us host, process payments, send email, analyze usage, or monitor errors (see below), under contractual obligations to protect the data
  • Within a Subscriber organization. Team members of the same shop may access End Customer and job data according to roles the Subscriber configures
  • Public / shared links. When a Subscriber sends an estimate approval, invoice payment, or booking link, the recipient can see the information on that page
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets
  • Legal. When required by law, legal process, or to protect rights, safety, and security
  • With consent. When you direct us to share information

We do not sell personal information for money. We do not share waitlist SMS opt-in data with third parties or affiliates for their own marketing. We do not operate third-party “offer walls” or sell End Customer lists.

6. Service Providers and Subprocessors

Depending on features in use, we rely on providers such as:

  • Supabase — database, authentication, storage, and edge functions
  • Stripe — subscription billing and Connect payments
  • Resend (or similar) — transactional and product email delivery
  • PostHog — product analytics
  • Sentry — crash and error monitoring
  • Apple — Sign in with Apple; App Store distribution
  • Hosting / CDN providers (for example Vercel or Expo EAS) — website and app delivery
  • OpenStreetMap Nominatim — address lookup / geocoding when used

These providers process information on our instructions or as needed to provide their services. Their own privacy notices also apply to their processing.

7. Automation and On-Device Features

Jrnyman may include helpers such as optical character recognition (OCR) for equipment nameplates and other automation that assists data entry. These features are tools for Subscribers; they are not a guarantee of accuracy and are not predictive “AI decision” systems about individuals. We may improve these features over time. We do not currently use End Customer content to train public generative AI models for unrelated third-party products.

8. Sign in with Apple and Authentication

You may create or access an account using email/password or Sign in with Apple. If you use Apple, we receive the identifiers Apple provides (such as name and email, including a private relay email if you choose Hide My Email). We use that information only to authenticate you and operate your account. We do not offer Facebook or X (Twitter) login.

9. How Long Do We Keep Information?

We keep personal information as long as needed to provide the Services, comply with legal and accounting obligations, resolve disputes, and enforce agreements. Account and business records may be retained while an organization is active and for a reasonable period afterward (including backups). When you request account deletion, we deactivate or delete account data from active systems as described in-app and by email, subject to data we must retain for legal, security, or fraud-prevention reasons.

Subscribers are responsible for how long they need to keep End Customer job and invoice records for their own tax and trade obligations.

10. How Do We Keep Information Safe?

We use administrative, technical, and organizational measures designed to protect personal information (including encrypted transport, access controls, and provider security features). No method of transmission or storage is 100% secure. You use the Services at your own risk and should use strong passwords and protect your devices.

11. Do We Collect Information From Minors?

The Services are for users 18 years of age or older. We do not knowingly collect personal information from children under 18. If you believe we have collected such information, contact us at team@conform.solutions and we will take appropriate steps to delete it.

12. Your Privacy Rights and Choices

Marketing and SMS

You can unsubscribe from marketing emails using the link in those emails. For SMS you opted into, you may reply STOP (or follow the instructions provided). Transactional and account messages may still be sent as needed to operate the Services.

Account settings

Subscribers can update profile and organization information in account settings. Account deletion is available in the mobile app settings (and related support flows).

Device permissions

You can revoke camera, photos, microphone, contacts, notification, or tracking permissions in your device settings. Some features will not work without those permissions.

13. United States State Privacy Rights

Depending on where you live (for example California and certain other states), you may have rights to request access, correction, deletion, or a copy of personal information, and to appeal our response, subject to legal limits. To exercise these rights, email team@conform.solutions. We will verify requests as required by law. Authorized agents may submit requests with proof of authority.

We have not sold personal information in the conventional sense. We do not knowingly sell or share personal information of consumers under 16. Shine the Light and similar requests may be sent to the contact below.

14. Updates to This Notice

We may update this Privacy Notice from time to time. The “Last updated” date at the top will change when we do. Material changes may also be communicated in-product or by email. Continued use of the Services after an update means you acknowledge the revised notice.

16. How to Review, Update, or Delete Data

Subscribers can update much of their account data in Settings. To request access, correction, or deletion of personal information we hold, or to ask about End Customer data processed on behalf of a Subscriber, email team@conform.solutions. We will respond in accordance with applicable law. End Customers should also contact their HVAC provider (the Subscriber) for records that shop controls.
